Group Bookings (Capacity)

Some services are enjoyed by several people at the same time - a spa circuit, a yoga class, a guided activity. Group capacity lets you sell the same time slot to more than one customer: each seat is an independent booking with its own confirmation, reminders and cancellation link.

Group capacity is available on the Pro and Max plans.

Enabling it on a service

  1. Go to Services and open the service.
  2. In the Group capacity card, turn on Enable group bookings.
  3. Set Seats per slot (2 to 20) - how many customers can share one time slot.
  4. Optionally choose when the booking page shows how many spots are left:
    • When few seats remain (default) - a “2 spots left” hint appears only once the slot is partially booked and 3 or fewer seats remain.
    • Always - every slot of this service shows its remaining seats.
    • Never - no seat counts are shown; the slot simply disappears when full.

How booking works

  • A slot stays visible on your booking page until all seats are taken, then it disappears like any fully booked time.
  • Every attendee books individually and gets their own confirmation email, reminders, intake form and cancel/reschedule link. When one attendee cancels, one seat frees up.
  • The same customer cannot take two seats in the same slot.
  • Other services can never overlap a group slot - seats only stack for the same service at the same time.
  • If the service is linked to several calendars, each calendar has its own seats: a capacity of 6 on two rooms means 6 seats per room.

In your calendar

The dashboard shows a group slot as a single entry like “Spa Circuit · 3/6”. Click it to see the attendee list; selecting an attendee opens their booking, where you can confirm, reschedule or cancel that seat individually. After you act on someone you come straight back to the attendee list, so you can work down the group without reopening the slot.

Once the slot is over, the list offers Check out all to complete every confirmed attendee in one go. Attendees you already marked as no-show are left untouched, so the usual routine works: mark the people who didn’t turn up, then check out the rest. The slot only appears dimmed on the calendar once every attendee is finished.

If your plan changes to Free, services keep their saved capacity but behave as regular one-customer slots until you upgrade again. Existing group bookings are always preserved.
