Creating Events

Events are calendar entries that don’t involve clients. Use them to block time for personal activities, breaks, meetings, or any period when you’re unavailable for sessions.

Creating an Event

Click on a Time Slot

In your calendar, click on an empty time slot.

Select “New Event”

From the menu, click New Event (not “New Session”).

Fill in Event Details

Required:

  • Title - Name of the event (e.g., “Lunch Break”)
  • Date - When the event occurs
  • Time - Start time

Optional:

  • End Time - When the event ends (or set duration)
  • Calendar - Which calendar to block
  • All Day - Toggle for full-day events
  • Description - Notes about the event
  • Color - Visual identification

Save the Event

Click Create Event. The event appears on your calendar.

Event Types

Timed Events

Regular events with a specific start and end time:

  • Block 1-hour lunch at 12 PM
  • Reserve 2 hours for admin work
  • Hold 30 minutes for a phone call

All-Day Events

Events that span the entire day:

  1. Create a new event
  2. Toggle All Day on
  3. The event appears at the top of the day
  4. Select single or multiple days

All-day events block the entire day for online booking unless you configure them otherwise.

Event Colors

Choose colors to categorize your events:

Recurring Events

Create events that repeat automatically:

  1. Create a new event
  2. Click Repeat or Recurring
  3. Choose pattern:
    • Daily
    • Weekly
    • Monthly
    • Yearly
  4. Set end date or number of occurrences
  5. Save

How Events Affect Booking

Events block time in the online booking system:

This prevents clients from booking during your blocked time.

Editing Events

Single Event

  1. Click on the event
  2. Select Edit
  3. Modify details
  4. Save changes

Recurring Event

When editing a recurring event, you’ll be asked:

  • This event only - Edit just this occurrence
  • This and following - Edit this and future occurrences
  • All events - Edit all occurrences (past and future)

Deleting Events

Single Event

  1. Click on the event
  2. Select Delete
  3. Confirm deletion

Recurring Event

When deleting a recurring event:

  • This event only - Delete just this occurrence
  • This and following - Delete this and future occurrences
  • All events - Delete the entire series

Deleting events cannot be undone. Future occurrences of recurring events will be removed.

Quick Time Blocking

From Week/Day View

  1. Click and drag on the calendar grid
  2. This creates an event spanning the dragged time
  3. Add a title and save

Multi-Day Blocking

For vacation or extended unavailability:

  1. Create an all-day event
  2. Set the start date
  3. Set the end date
  4. All days in between are blocked

Best Practices

Consistent Lunch Breaks

Create a recurring event for lunch:

  • Title: “Lunch”
  • Time: 12:00 PM - 1:00 PM
  • Repeat: Weekly, Mon-Fri

Buffer Time

Add events for preparation:

  • Before important sessions
  • After intense sessions
  • Between back-to-back appointments

Vacation Planning

Block vacation time early:

  1. Create all-day event
  2. Set date range
  3. Add notes with coverage info

Common Issues

Events Not Blocking Booking

Check that:

  • Event is on the correct calendar
  • Calendar is linked to the service
  • Event times are within working hours

Can’t See All Events

  • Toggle calendar visibility in sidebar
  • Check date range
  • Ensure events aren’t filtered out
