Booking Settings

Configure how your online booking behaves. These settings are found in the Settings tab of the Booking Setup page.

Accessing Booking Settings

Navigate to Booking Setup from the sidebar, then click the Settings tab.

The Booking Setup page has 4 tabs: Setup (enable booking, username, calendars, services), Settings (behavior), Branding (appearance), and Q&A (FAQ entries). This page covers the Settings tab.

Booking Behavior

Online Cancellation

Allow clients to cancel their own bookings through a link in the confirmation email.

Online Rescheduling

Allow clients to reschedule their own bookings any time before the appointment starts.

These two settings are independent - you can allow rescheduling but not cancellation, or vice versa.

Auto-cancel Timeout

Automatically cancel pending bookings if the client does not confirm within a set time.

  • Range: 1 to 168 hours (1 week)
  • Default: 24 hours
  • How it works: When a client books, the session starts as “Pending”. If the client doesn’t confirm via the confirmation email within the timeout period, the booking is automatically cancelled and the slot becomes available again.
  • Deposit bookings are excluded - When a client pays a deposit during booking, the payment acts as confirmation. These bookings are confirmed immediately and are not subject to the auto-cancel timeout.

Set a shorter timeout (e.g., 4-12 hours) if you have high demand and want slots freed up quickly. Use a longer timeout (e.g., 48-72 hours) if your clients may need more time to confirm.

Deposit Cancellation Settings

💎Max These settings appear when you’re on the Max plan and have services with deposits enabled.

Allow Deposit Cancellations

Control whether clients who paid a deposit can cancel online.

Refund Percentage

How much of the deposit to refund when a client cancels:

  • Range: 0% to 100%
  • Default: 100%

A 100% refund means the deposit amount minus Stripe’s non-recoverable processing fees (typically 2.9% + EUR 0.25).

Some booking-related settings live outside the Booking Setup page:

Per-Calendar Settings

These are configured when editing each calendar (Settings > Calendar):

  • Days in advance (1-365 days, default 30) - How far ahead clients can book
  • Minimum notice (0-72 hours, default 4) - How much notice clients must give
  • Working hours - When clients can book on this calendar

Each calendar can have different values, so you can offer different booking windows for different specialists.

Per-Service Settings

These are configured when editing each service:

  • Buffer time - Gap between consecutive sessions (e.g., 15 min prep time)

Notification Settings

Email notification preferences are managed in Settings > Notifications, not in Booking Setup. You can configure:

  • New booking notifications
  • Confirmation notifications
  • Cancellation notifications
  • Reminder emails (24h and 2h before)

Testing Your Settings

After changing settings:

  1. Visit your booking page
  2. Make a test booking
  3. Verify the confirmation email includes the correct links (cancel, reschedule)
  4. Test cancelling or rescheduling
  5. Check that the auto-cancel timeout works as expected

Solo Practitioner

  • Online cancellation: Enabled
  • Online rescheduling: Enabled
  • Auto-cancel timeout: 24 hours
  • Per-calendar: 30 days advance, 24h minimum notice

Established Practice

  • Online cancellation: Enabled
  • Online rescheduling: Enabled
  • Auto-cancel timeout: 12 hours
  • Per-calendar: 60 days advance, 2h minimum notice

High-Demand

  • Online cancellation: Enabled (consider disabling for deposit services)
  • Online rescheduling: Enabled
  • Auto-cancel timeout: 4 hours
  • Per-calendar: 30 days advance, 48h minimum notice
