Activity Timeline
The activity timeline provides a chronological record of everything that happens with a client—from profile creation to session completions.
What is the Activity Timeline?
The activity timeline is an audit log that tracks:
- Client profile changes
- Session bookings and updates
- Status changes
- Note modifications
- System events
Accessing the Timeline
- Go to Clients
- Click on a client to open their profile
- Navigate to the Activity or Timeline tab
Timeline Events
Profile Events
| Event | Description |

| Profile Created | Client was added to the database |
| Profile Updated | Information was changed |
| Notes Updated | Client notes were modified |
| Profile Viewed | (if enabled) Profile was accessed |
Session Events
| Event | Description |
|---|---|
| Session Booked | New session scheduled |
| Session Rescheduled | Date/time changed |
| Session Confirmed | Status changed to confirmed |
| Session Completed | Status changed to completed |
| Session Cancelled | Session was cancelled |
| No Show | Client marked as no-show |
Booking Events (Online)

| Online Booking | Client booked through public page |
| Booking Confirmed | Client confirmed their booking |
| Booking Cancelled | Client cancelled online |
Timeline Entry Details
Each timeline entry shows:
- Timestamp - When the event occurred
- Event Type - What happened
- Description - Details about the event
- User - Who made the change (you, system, or client)

Session Completed
"Coaching Session" with John Smith completed

Profile Updated

Session Booked

Filter timeline entries by:
- Event type - Show only specific event types
- Date range - Filter to a time period
- Session related - Show only session events
- Profile related - Show only profile changes
Timeline Uses
Client History Review
Before a session:
- Review recent timeline entries
- Note any recent cancellations
- Check for profile updates
- Review past session notes
Dispute Resolution
If there’s a question about changes:
- Check the timeline for the exact date/time
- See who made the change
- View before/after values (if logged)
Pattern Recognition
Identify client patterns:
- Frequent cancellations
- Regular booking times
- Communication preferences
Privacy & Data
What’s Logged
- All profile changes
- All session status changes
- System-generated events
- Online booking activities
What’s Not Logged
- Profile views (unless enabled)
- Internal system operations
- Other users’ actions (if team feature)
Data Retention
Timeline data is:
- Kept for the life of the client profile
- Deleted when client is deleted
- Exportable upon request
The timeline is read-only. You cannot edit or delete historical entries.

Use the timeline for an overview; use session history for detailed session information.
Exporting Timeline Data
To export a client’s activity timeline:
- Go to client profile
- Navigate to timeline
- Click Export (if available)
- Choose format
- Download
This may be included in client data export requests.
Best Practices
Regular Review
- Check timeline before client sessions
- Review after resolving issues
- Use for client relationship context
Documentation
- Keep notes that explain timeline events
- Document reasons for changes
- Use session notes for context
Client Communication
If a client asks about changes:
- Check the timeline
- Provide accurate information
- Explain what happened and when
