Recurring Events

Recurring events allow you to create sessions or events that repeat automatically on a schedule. This is perfect for regular appointments, weekly meetings, or daily time blocks.

Use Cases

  • Weekly client sessions - Regular coaching appointments
  • Daily breaks - Lunch, exercise, admin time
  • Monthly meetings - Team meetings, reviews
  • Annual events - Birthdays, anniversaries

Recurrence Patterns

Timeblu supports four recurrence patterns:

Daily

Repeat every day or every X days.

Examples:

  • Every day
  • Every 2 days
  • Every weekday (Mon-Fri)

Weekly

Repeat on specific days of the week.

Examples:

  • Every Monday
  • Every Tuesday and Thursday
  • Every weekday

Monthly

Repeat on a specific day of the month.

Examples:

  • On the 1st of every month
  • On the 15th of every month
  • On the last Friday of every month

Yearly

Repeat on a specific date each year.

Examples:

  • Every January 1st
  • Every March 15th

Creating a Recurring Event

For Events (Time Blocks)

  1. Create a new event as normal
  2. Click Repeat or look for the recurrence option
  3. Select your pattern:
    • Daily, Weekly, Monthly, or Yearly
  4. Configure pattern details:
    • Interval (every 1 week, every 2 weeks, etc.)
    • Days of week (for weekly)
    • Day of month (for monthly)
  5. Set an end condition:
    • Never - Continues indefinitely
    • After X occurrences - Stops after set number
    • On date - Stops on specific date
  6. Save the event

For Sessions (Client Appointments)

  1. Create a session with a client
  2. After saving, select Make Recurring
  3. Choose the recurrence pattern
  4. Set end condition
  5. Confirm to create all occurrences

Recurring sessions create individual session entries that can be edited or cancelled independently.

Pattern Examples

Weekly Coaching Sessions

  • Pattern: Weekly
  • Day: Tuesday
  • Time: 10:00 AM
  • Duration: 60 minutes
  • End: After 12 occurrences (3 months)

Daily Lunch Block

  • Pattern: Daily
  • Interval: Every weekday
  • Time: 12:00 PM - 1:00 PM
  • End: Never

Monthly Check-in

  • Pattern: Monthly
  • Day: First Monday
  • Time: 2:00 PM
  • End: On December 31, 2025

Bi-Weekly Session

  • Pattern: Weekly
  • Interval: Every 2 weeks
  • Day: Wednesday
  • Time: 3:00 PM
  • End: After 26 occurrences (1 year)

Managing Recurring Events

Viewing Occurrences

Recurring events show a repeat icon on the calendar. Click any occurrence to see:

  • Event details
  • Recurrence pattern summary
  • Options for editing or deleting

Editing Recurring Events

When you edit a recurring event, you’ll choose scope:

Example: A client reschedules one session but wants to keep future ones → Edit “This event only”

Creating Exceptions

An exception is when one occurrence differs from the pattern:

  1. Edit just that occurrence (“This event only”)
  2. Change the time, date, or details
  3. Future occurrences remain unchanged

Common exceptions:

  • Rescheduled sessions
  • Holiday adjustments
  • One-time changes

Deleting Recurring Events

Like editing, you choose scope when deleting:

Be careful with “All events” - this removes the entire series including past occurrences.

Best Practices

For Regular Clients

  1. Book the first session normally
  2. Make it recurring after confirming
  3. Set realistic end dates (review quarterly)
  4. Create exceptions for holidays

For Personal Blocks

  1. Set up daily/weekly blocks first
  2. Import holidays to auto-block
  3. Use “Never” end date for permanent blocks
  4. Review and clean up periodically

Planning Ahead

  • Create recurring events at least 1-2 months in advance
  • Review upcoming occurrences monthly
  • Communicate changes to clients promptly

Troubleshooting

Occurrences Not Appearing

  • Check the end date/occurrence limit
  • Ensure the pattern is correctly configured
  • Look at the correct calendar

Can’t Edit Future Occurrences

  • You may have edited “This event only” previously
  • Check if the occurrence is now an exception
  • Try editing from the series parent

Accidental “All Events” Edit

If you accidentally edited all events:

  • Use browser back/undo if available
  • Delete and recreate the series
  • Manually fix each occurrence
