Common questions about adding, managing, and working with client records.

Adding Clients

How do I add a client?

  1. Go to Clients
  2. Click Add Client
  3. Enter name, email, and any other details
  4. Click Save

What information is required?

Only the client’s name is required. Email is strongly recommended for reminders.

Can clients add themselves?

Yes, when clients book online (Pro+), they’re automatically added to your client database.

Can I import existing clients?

Yes, import from CSV or JSON files:

  1. Go to Clients
  2. Click Import
  3. Select your file
  4. Map fields and import

How many clients can I have?

What happens when I reach the limit?

You won’t be able to add new clients until you delete some or upgrade to Pro.

Do deleted clients count toward my limit?

No, only active (non-deleted) clients count.

Client Profiles

How do I view a client’s profile?

Go to Clients and click on the client’s name to open their profile.

What information can I store?

  • Name (required)
  • Email
  • Phone
  • WhatsApp number
  • Birth date
  • Address
  • Private notes

How do I add notes about a client?

Edit the client profile and use the Notes field. Notes are private and never shared with clients.

Can I see a client’s session history?

Yes, go to the client profile and view the Sessions or History tab.

Editing & Deleting

How do I edit a client?

  1. Go to Clients
  2. Click on the client
  3. Click Edit
  4. Update information
  5. Save

How do I delete a client?

  1. Go to Clients
  2. Click on the client
  3. Click Delete
  4. Confirm deletion

What happens when I delete a client?

  • Client profile is removed
  • Session history is preserved (shows “Deleted Client”)
  • Client count decreases

Can I recover a deleted client?

No, deletion is permanent. You would need to re-add them manually.

Searching & Organizing

How do I search for clients?

Use the search bar on the Clients page to search by name or email.

Can I filter clients?

Yes, you can filter and sort by:

  • Name
  • Email
  • Last session date
  • Number of sessions

Can I tag or categorize clients?

Client tags are not currently available but may be added in future updates.

Data & Privacy

Is client data secure?

Yes, client data is encrypted at rest and in transit. Timeblu is GDPR compliant.

Can I export client data?

Yes, you can export:

  • All clients as CSV or JSON
  • Individual client profiles
  • Session history per client

What if a client asks for their data?

Export their profile and session history, then provide it to them (GDPR right to access).

What if a client asks to be deleted?

Delete their profile from your clients list (GDPR right to erasure). Note: session history remains for your records but will show “Deleted Client.”

Online Booking & Clients

Do online bookings create clients automatically?

Yes, when a new person books online, they’re automatically added as a client.

What if someone books who’s already a client?

If their email matches an existing client, the booking is associated with that client. If not, a new client record is created.

How do I avoid duplicate clients?

Timeblu checks for duplicates by email during import and when clients book online. Manually review and merge duplicates if found.

Troubleshooting

Client’s email not saving

  1. Verify email format is correct
  2. Check for spaces before/after
  3. Try a different email
  4. Refresh and try again

Can’t find a client

  1. Check spelling in search
  2. Clear filters
  3. Check if client was deleted
  4. Use partial name search

Import not working

  1. Verify file format (CSV or JSON)
  2. Check for required “name” column
  3. Verify encoding (UTF-8 recommended)
  4. Review error messages
