Managing Multiple Calendars

Pro Multiple calendars are available on Pro (up to 3) and Premium (unlimited) plans.

Multiple calendars allow you to manage separate schedules for different purposes, such as different locations, services, or team members.

Use Cases

Different Locations

  • “Main Office” calendar
  • “Downtown Studio” calendar

Different Specialties

  • “Individual Coaching” calendar
  • “Group Sessions” calendar

Team Members

  • “Dr. Smith” calendar
  • “Dr. Johnson” calendar

Work/Personal Separation

  • “Work” calendar
  • “Personal” calendar

Creating a New Calendar

  1. Go to the Calendars section in the sidebar
  2. Click Add Calendar
  3. Fill in the calendar details:
    • Name - Descriptive name (e.g., “Downtown Office”)
    • Color - Choose a color for visual identification
    • Description - Optional notes about this calendar
  4. Click Create

Calendar Colors

Each calendar can have its own color. Available colors:

  • Blue (default)
  • Green
  • Purple
  • Orange
  • Red
  • Yellow
  • Indigo
  • Pink
  • Gray
  • Teal

Colors help you quickly identify which calendar a session belongs to when viewing all calendars together.

Working Hours per Calendar

Each calendar has its own working hours configuration. This allows you to:

  • Set different hours for different locations
  • Have different availability for different services
  • Configure team member schedules individually

Setting Working Hours

  1. Go to Calendars section
  2. Click on a calendar to edit it
  3. Navigate to the Working Hours tab
  4. For each day of the week:
    • Toggle the day on/off
    • Set start and end times
  5. Click Save

Viewing Multiple Calendars

All Calendars View

By default, Timeblu shows sessions from all your calendars. Each session displays in its calendar’s color.

Filtering by Calendar

To focus on specific calendars:

  1. Look for the calendar list in the sidebar
  2. Click the checkbox next to each calendar to show/hide
  3. Only checked calendars display their sessions

Quickly focus on one calendar by clicking its name, then toggle others off.

Linking Services to Calendars

Services can be linked to specific calendars, controlling where they’re available for booking.

  1. Go to Services
  2. Edit a service
  3. Under Calendars, select which calendars offer this service
  4. Save the service

Managing Calendars

Editing a Calendar

  1. Go to Calendars
  2. Click the calendar you want to edit
  3. Update name, color, description, or working hours
  4. Click Save

Deleting a Calendar

Deleting a calendar will also delete all sessions and events on that calendar. This action cannot be undone.

  1. Go to Calendars
  2. Click the calendar to edit
  3. Scroll down and click Delete Calendar
  4. Confirm the deletion

Default Calendar

The first calendar you create becomes your default. When creating sessions:

  • Sessions default to your primary calendar
  • You can change the calendar in the session creation dialog

Online Booking with Multiple Calendars

When online booking is enabled (Pro+), clients can select from available calendars that:

  1. Have the selected service linked
  2. Have available time slots
  3. Are set to be visible in booking

Calendar Selection in Booking

Clients see a “Specialist Selection” step where they can:

  • Choose a specific calendar/specialist
  • Select “Any Available” for automatic assignment

Best Practices

Naming Conventions

Use clear, descriptive names:

  • “Sarah - Individual Sessions”
  • “Office A - Group Therapy”
  • “Zoom Sessions”

Color Strategy

  • Use similar colors for related calendars
  • Use contrasting colors when viewing all at once
  • Be consistent with your color meanings

Working Hours Overlap

Be careful with overlapping hours across calendars if you’re managing them yourself—you could accidentally double-book.
