Your First Session

Now that your account is set up, let’s create your first session (appointment). This guide covers the complete process from adding a client to confirming the booking.

Prerequisites

Before creating a session, make sure you have:

  • At least one service created (done during onboarding)
  • A client to book with (we’ll add one if you haven’t)

Creating Your First Session

Add a Client (If Needed)

If you haven’t added any clients yet:

  1. Go to Clients in the sidebar
  2. Click Add Client
  3. Fill in the required information:
    • Full Name (required)
    • Email (optional, recommended for reminders)
    • Phone (optional, with country code selector)
    • Birth Date (optional)
    • Notes (optional)
    • Address fields (optional)
  4. Click Create Client

Open the Calendar

Navigate to the Calendar section from the sidebar. You’ll see your calendar in the default Month view.

Select a Time Slot

Click on an empty time slot in the calendar where you want to schedule the session. A dialog will appear to create a new session.

  • In Month view, click on a day to create a session starting at 9:00 AM
  • In Week or Day view, click on a specific time slot for a more precise start time

Fill in Session Details

In the session creation dialog:

  1. Calendar - Select which calendar to add the session to
  2. Client - Search and select your client
  3. Service - Choose the type of session (auto-fills duration and price)
  4. Date - Confirm or adjust the date
  5. Start Time - Confirm or adjust the start time
  6. Duration - Auto-filled from service, adjustable in 5-minute increments
  7. Price - Auto-filled from service, adjustable
  8. Private Notes (optional) - Add internal notes only visible to you

If the time slot overlaps an existing session, a conflict warning will appear. You can check “I understand, schedule anyway” to proceed.

Save the Session

Click Create Session to save. The session will appear on your calendar with the calendar’s color.

Session Statuses

Each session has a status that helps you track its progress:

ConfirmedSession is confirmed and scheduled
CancelledSession was cancelled
CompletedSession has taken place
No ShowClient didn’t attend

Changing Session Status

Session status is managed through the session popup:

  1. Click on the session in your calendar to open the popup
  2. Use the action buttons at the bottom (e.g., Cancel, Restore)

There is no status dropdown - instead, each status change has its own dedicated button with a confirmation dialog.

Editing a Session

To modify an existing session:

  1. Click on the session in your calendar to open the popup
  2. Click the Edit button (pencil icon)
  3. Update any details (time, service, notes, etc.)
  4. Click Save

Quick Rescheduling

For quick time changes, you can drag and drop sessions:

  1. Click and hold the session
  2. Drag it to the new time slot
  3. Release - the session is updated immediately

Cancelled, completed, and no-show sessions cannot be dragged. Learn more about drag & drop rescheduling.

Cancelling a Session

To cancel a session:

  1. Click on the session to open the popup
  2. Click the Cancel button (ban icon)
  3. Optionally enter a cancellation reason
  4. Confirm the cancellation

Cancelled sessions remain visible on your calendar with reduced opacity, strikethrough text, and a red X icon. You can hide them in Settings > Calendar under “Session Visibility”.

Session Reminders

Timeblu can automatically send reminders to your clients before sessions:

  • 24 hours before - Email reminder (all plans, on by default)
  • 2 hours before - Email reminder (Pro+, off by default)
  • SMS reminder - Text message 24 hours before (Max only)

Configure reminders in Settings > Notifications.

Session Notes

Sessions have two types of notes:

Private Notes

Editable by you. Use for:

  • Session summaries
  • Progress tracking
  • Internal reminders

Customer Notes

Read-only notes submitted by clients when they book online. Only visible on sessions created through online booking.
