Your First Session

Now that your account is set up, let’s create your first session (appointment). This guide covers the complete process from adding a client to confirming the booking.

Prerequisites

Before creating a session, make sure you have:

  • At least one service created (done during onboarding)
  • A client to book with (we’ll add one if you haven’t)

Creating Your First Session

Add a Client (If Needed)

If you haven’t added any clients yet:

  1. Go to Clients in the sidebar
  2. Click Add Client
  3. Fill in the required information:
    • Name (required)
    • Email (recommended for reminders)
    • Phone (optional)
  4. Click Save

Open the Calendar

Navigate to the Calendar section from the sidebar. You’ll see your calendar in the default view (usually Week view).

Select a Time Slot

Click on an empty time slot in the calendar where you want to schedule the session. A dialog will appear to create a new session.

Make sure to click within your working hours. Time slots outside your working hours will appear grayed out.

Fill in Session Details

In the session creation dialog:

  1. Client - Search and select your client
  2. Service - Choose the type of session
  3. Date & Time - Confirm or adjust the date and time
  4. Duration - Auto-filled based on service, but can be adjusted
  5. Notes (optional) - Add any session notes
  6. Status - Usually starts as “Pending” or “Confirmed”

Save the Session

Click Create Session to save. The session will appear on your calendar with the service color.

Session Status

Each session has a status that helps you track its progress:

StatusDescription
PendingAwaiting confirmation (common for online bookings)
ConfirmedSession is confirmed and scheduled
CancelledSession was cancelled
CompletedSession has taken place
No ShowClient didn’t attend

Changing Session Status

  1. Click on the session in your calendar
  2. Click Edit or open session details
  3. Change the status using the dropdown
  4. Save your changes

Editing a Session

To modify an existing session:

  1. Click on the session in your calendar
  2. Click Edit
  3. Update any details (time, service, notes, etc.)
  4. Click Save

Quick Rescheduling

For quick time changes, you can drag and drop sessions:

  1. Click and hold the session
  2. Drag it to the new time slot
  3. Release to confirm
  4. The session is automatically updated

Cancelling a Session

To cancel a session:

  1. Click on the session
  2. Click Cancel or change status to “Cancelled”
  3. Optionally add a cancellation reason
  4. Confirm the cancellation

Cancelled sessions remain visible on your calendar (grayed out) for record-keeping. You can hide them in Calendar Settings.

Session Reminders

Timeblu can automatically send reminders to your clients before sessions:

  • 24 hours before - Email reminder (Free tier)
  • 2 hours before - Email reminder (Pro+)
  • 30 minutes before - SMS/WhatsApp (Pro+)

Configure reminders in Settings > Notifications.

Adding Session Notes

Keep track of important information for each session:

Customer Notes

Visible to the client in booking confirmations. Use for:

  • Meeting links
  • Preparation instructions
  • What to bring

Private Notes

Only visible to you. Use for:

  • Session summaries
  • Progress tracking
  • Internal reminders
