Adding Clients
Build your client database by adding clients individually or importing in bulk.
Adding a Single Client
Go to Clients
Click Clients in the sidebar.
Click Add Client
Click the Add Client button in the top right.
Fill in Client Details
Enter the client’s information:
Required:
- Name - Client’s full name
Recommended:
- Email - For sending confirmations and reminders
- Phone - Primary contact number
Optional:
- WhatsApp Number - If different from phone, for WhatsApp reminders
- Birth Date - For birthday tracking
- Address - Street address
- City, State, Country - Location details
- Notes - Private notes about the client
Save the Client
Click Save to create the client record.
Adding Clients While Booking
You can also add a client directly when creating a session:
- Go to Calendar
- Click to create a new session
- In the client field, type the new client’s name
- Click Create New Client
- Fill in basic details
- Continue with the booking
This creates a minimal client record that you can complete later.
Client Fields Explained
Name
The client’s full name as you want it to appear. This is the only required field.
Tips:
- Use the name your client prefers
- Be consistent with formatting (e.g., “John Smith” vs “Smith, John”)
The client’s email address. Used for:
- Booking confirmations
- Session reminders
- Online booking receipts
Always add an email if possible—it’s essential for automated reminders.
Phone Number
Primary phone number including country code.
Format tips:
- Include country code for SMS reminders
- Use the format: +1 555 123 4567
- Timeblu supports country code selection
WhatsApp Number
If your client prefers WhatsApp and uses a different number:
- Enter their WhatsApp-specific number
- Include country code
- Leave blank if same as phone number
Birth Date
Optional birthday field. Useful for:
- Birthday greetings
- Age-based services
- Client demographics
Address Fields
Full address including:
- Street address
- City
- State/Province
- Country
- Postal code
Useful for:
- In-person sessions
- Invoicing
- Regional analytics
Notes
Private notes visible only to you. Use for:
- Session preferences
- Important information
- Communication history
- Special requirements
Duplicate Detection
When adding a client, Timeblu checks for duplicates:
- Same email - Warning shown if email exists
- Similar name - Suggestion shown if name is similar
If a duplicate is found:
- Review the existing client
- Decide to merge or create new
- Or update the existing record
Client Validation
Timeblu validates:

Bulk Import
Have many clients to add? Use the Import feature to add clients from CSV or JSON files.
Client Limit (Free Plan)
Free plan is limited to 20 clients. You’ll see a warning when approaching this limit.
If you’ve reached your limit:
- Upgrade to Pro for unlimited clients, OR
- Delete inactive clients to make room

Best Practices
Collect Information Early
When a new client contacts you:
- Create their record immediately
- Add email at minimum
- Complete profile after first session
Keep Records Updated
- Update contact info when it changes
- Add notes after significant interactions
- Archive inactive clients if not deleting
Use Consistent Formatting
- Decide on name format (first last vs last, first)
- Use consistent phone number format
- Standardize note-taking style
After Adding a Client
Once a client is added, you can:
- Book a session - Schedule their first appointment
- View their profile - See full details
- Add more details - Complete their profile over time
