Session Notes and the Visit Sheet
Every appointment can carry a session note: what happened, what you did, what comes next time. You write it in the visit sheet, a side panel made for writing with the client in front of you or just gone, on a computer or a tablet. The note is internal: the client never sees it.
Opening the Visit Sheet
The same sheet opens from four places:
- Calendar - the notes icon in the appointment popup’s actions row. When the appointment already has a note, the Private Notes block opens it with a tap too.
- Client profile - on the History tab, each appointment’s menu → Notes.
- Global search (⌘K / Ctrl+K) - an appointment’s menu → Notes.
- Today’s Agenda on the home panel - the notes icon on each row. It shows filled when the appointment already has a note.
What Is Inside
- Client alerts at the very top, so you know what to know before treating.
- The note, in an editor that grows with the text. It saves itself one second after you stop typing and when you close: the footer says “Saving…” and then “Saved at …”. If a save fails, the sheet stays open until it manages to save, so you never lose text.
- Client note - the general note from the profile (history, diagnosis), collapsed and read-only.
- Previous notes - the client’s latest appointments that carry a note, five per page with a Load more button. Each row expands to read the note without leaving the sheet.
- AI summary (Max plan) - the same client summary you see in the appointment popup.
Templates
If you always write with the same structure, create templates in Settings > Notes: for example “First visit” with Reason / Examination / Treatment / Plan, and “Check-up” with Progress / Treatment / Plan. Up to ten per business, each with a name and a text of up to 2,000 characters.
The sheet shows the templates as chips above the note: a tap inserts the text and you start filling it in. When the note already has content the sheet asks before replacing it, so you can switch templates if you tapped the wrong chip. They never apply on their own.
Save and Complete
When the appointment is already past and confirmed, the footer offers Save and complete: it saves the note, marks the session as completed and, if you want, schedules a follow-up in the same step (the Schedule a follow-up block is the checkout’s). That follow-up stays linked to the appointment, so the Follow-ups view shows the professional who saw the client.
A completed appointment shows “Completed on …” and still lets you edit the note.
Team members with Edit access on the calendar write the note and can complete the visit; View access opens the sheet read-only.
