Client Alerts
Some things about a client must be seen before the visit, not found in the notes afterwards: a latex allergy, a pacemaker, a sensitivity to a hair dye, a knee that must not be loaded. Alerts are short, leveled reminders pinned to the client record, on every plan.
What an Alert Is
- Up to 3 alerts per client, each up to 120 characters.
- Three levels: Info (good to know), Warning (take care) and Critical (must not be missed).
- Alerts are for your team only. They are never shown to the client and never included in any email or message.
Where Alerts Show
- Client profile - an Alerts section on the General tab, between the session counters and the notes, most severe first.
- Calendar - open any appointment of that client: the alerts sit under their name in the appointment popup, so the person attending sees them without leaving the calendar.
- Client list - a warning or critical alert adds a small icon next to the name; hover it to read the alerts.
- AI summary (Max) - the summary opens its “preferences and alerts” paragraph with them.
Team members see the alerts in the appointment popup of the calendars they have access to. Members with Edit access on a calendar can add and change alerts from there; View access reads them only.
Adding an Alert
- Open Clients and select the client
- Click Add alert in the Alerts section of the General tab
- Pick the level and write the alert
- Save
To change an alert, click its text. To remove it, click the x on the chip - an Undo appears in case of a slip.
Alerts and the AI Assistant
On Max, you can also say “add a critical alert to Ana: pacemaker” - the assistant adds it. Removing one asks for confirmation first, quoting the alert.
