WhatsApp Booking

Clients message your WhatsApp booking number and complete the whole appointment - choosing a service, a specialist, and a time - inside a native WhatsApp form. Rescheduling and cancelling work the same way. No app for them to install, no calls for you to answer.

1. Request your booking number

WhatsApp Booking runs on a dedicated number we set up for you - no SIM card, no Facebook account, and nothing to configure on your side. Your existing WhatsApp stays exactly as it is.

  1. Go to Settings → WhatsApp and click Get my booking number.
  2. We rent and configure the number for you (it uses a US +1 or UK +44 prefix, depending on availability) and you get an email as soon as it’s live - usually within 48 to 72 hours.
  3. In WhatsApp, clients see the number’s profile as “Timeblu” together with your business name.

The number is provided and managed end to end by Timeblu and is dedicated to bookings. There is nothing to verify, install, or renew on your side.

Add your business photo

Give the number your business’s face: in Settings → WhatsApp, use Add your business photo to upload a picture - it becomes the number’s WhatsApp profile picture, shown next to your reminders and booking chats. We crop it to the square format WhatsApp uses, and you can upload it right after requesting the number - it goes live together with the number. Replacing it later applies automatically (WhatsApp apps may keep showing the old photo for a while on clients’ phones).

2. Share it with your clients

Back in Settings → WhatsApp you’ll find the chat link and a QR code - put them on your website, Instagram bio, Google profile, or at the counter. Anyone who messages the number can book immediately.

If anything ever needs attention, the same page shows the number’s health, and Refresh status re-checks it on the spot.

3. What your clients experience

Any message to the number gets a menu with three buttons - Book, Reschedule, Cancel - each opening a guided form in the chat:

  • Book: pick a service, a specialist (when you have several), and one of the soonest openings - or any date from a calendar. New clients enter their name and email once; returning clients skip straight to confirmation.
  • Several services in one visit: after picking a service, clients can add up to two more (“Add another service”) and choose a day plus a ready-made sequence - the services are booked back to back as one reservation, with one confirmation and one combined deposit if any service requires one. Managing that reservation (moving or cancelling its appointments) happens through a link the assistant sends in the chat.
  • Large menus stay easy: with Group services by category on (Booking Setup → Settings), clients first pick a category and then see just those services; very long lists become a searchable picker automatically.
  • Intake forms work here too: your active forms (up to 10 questions each) appear as in-chat question pages before the confirmation, exactly like the web booking wizard - required answers are enforced, and a form a client already filled is never re-asked. Longer forms stay web-only.
  • Reschedule / Cancel: clients only ever see their own upcoming appointments, matched by their verified WhatsApp phone number. Your cancellation and rescheduling policies apply exactly as they do online.
  • Every completed action gets a confirmation message in the chat, plus the usual emails.

The assistant speaks your business language (from Settings → General).

4. Bookings only - humans stay on your channels

The booking number does exactly one job. If a client asks to talk to a person, the assistant replies with your own contact details and points them there. It uses the WhatsApp number from Booking Setup → Branding (as a tappable link) or your phone number from Settings → General.

5. Deposits and payment reminders

If a service requires a deposit, the assistant sends a secure payment link in the chat and the appointment is confirmed the moment it is paid. Unpaid bookings get one reminder with a fresh payment link a couple of hours later.

Conversations with your clients are free. Only out-of-window payment reminders use a paid WhatsApp template - your plan includes a monthly allowance, and you can see the usage in Settings → WhatsApp.

6. Appointment reminders on WhatsApp

Once your number is connected, you can send the 24-hour appointment reminder on WhatsApp instead of SMS. In Settings → Notifications, set the phone reminder to WhatsApp - and because the reminder comes from your booking number, clients can simply reply to it to reschedule or cancel.

If a reminder cannot be delivered on WhatsApp (for example, the client’s number has no WhatsApp), it is automatically sent by SMS instead - you can turn this fallback off with the switch below the channel selector. WhatsApp and SMS reminders share the same credit pool from your plan.
