Sending a Form by Email

Not every client books online. When someone books by phone (or in person), they never see the booking wizard - so they reach their appointment without having filled in your intake form. You can close that gap by emailing them a secure fill link from their client profile.

  1. Open the client under Clients.
  2. Click Send form in the header.
  3. Pick the form(s) to send. If the client has an upcoming appointment, the forms that apply to it (your business form plus the service’s form) are already preselected, and forms the client has already answered are marked.
  4. Click Send link. The client receives an email from your business with a button to fill in the form from their phone or computer.

If the client has no email on file yet, you can type one right in the send panel - it is saved to their profile. If that address already belongs to another client, Timeblu tells you which one instead of mixing up the two records.

What the client sees

The link opens a simple page with your business name and the form(s), one at a time. Required fields must be completed before submitting. Once submitted, the answers appear on the client’s profile just like answers collected at booking, and the link stops working.

  • A link tied to an upcoming appointment is valid until the appointment starts (rescheduling the appointment moves the deadline with it).
  • A link sent without an appointment is valid for 7 days.
  • Every link is single-use: it stops working after the form is submitted.

Tracking, resending and revoking

Below the client’s intake responses you’ll find Sent form links with each link’s state - Sent, Opened, Submitted, Expired or Revoked. From there you can:

  • Resend - issues a fresh link (the old one is invalidated) and emails it again.
  • Revoke - immediately invalidates a pending link.

If a client books online before opening the link, forms they already satisfied are skipped automatically - they are never asked twice.
