AI Client Summary
💎Max AI client summaries are available on Max plans.
The AI summary turns a client’s history - past sessions, notes, survey feedback and intake answers - into a short briefing anyone can read in seconds. It’s built for the moment a team member who doesn’t know the client is about to attend them.
Where to Find It
- Client profile - An AI summary card on the client’s profile page.
- Calendar session popup - Click a session on the calendar and expand the AI summary section. This is also where your team members see it: anyone with access to the calendar can read (and generate) the summary, so the briefing is right where they check the appointment.
The summary belongs to the client, not to a session: opening an old session shows the current summary, and everyone on the team sees the same one.
Generating a Summary
- Open the client profile or the session popup and find the AI summary section
- Pick the summary language if needed (any of the 5 app languages) - it defaults to the language the last summary used, or the account’s dashboard language
- Click Generate summary
The result is a short text (three brief paragraphs at most): who the client is and their history with you, preferences and things to keep in mind, and their attendance pattern.
Keeping It Up to Date
- Each client has one summary. Regenerating replaces it - there is no version history, and choosing a different language replaces the previous language too.
- Regenerate is only enabled when there is new activity (new past sessions, edited notes, new survey responses or intake answers) since the summary was generated. If nothing changed, the summary is already up to date.
- The generation date is always shown next to the summary, so you know how fresh it is.
What Data the AI Sees
Privacy is built in. The summary is generated from:
- The client’s first name and how long they’ve been a client
- Your private notes on the client
- The last 30 past sessions - service, date, status, session notes and cancellation reasons
- Survey ratings and comments and intake form answers
It never receives the client’s surname, email, phone, address, birth date, or any prices, deposits or payment information. Future bookings are not part of the summary - it describes history, not the agenda.
