  2. Click to create a new session
  3. In the client field, type the new client’s name
  4. Click Create New Client
  5. Fill in basic details
  6. Continue with the booking

This creates a minimal client record that you can complete later.

Client Fields Explained

Name and Surname

The client’s first name and last name. These are the only required fields.

Tips:

  • Use the name your client prefers
  • Be consistent with formatting

Email

The client’s email address. Used for:

  • Booking confirmations
  • Session reminders
  • Online booking receipts

Always add an email if possible-it’s essential for automated reminders.

Phone Number

Primary phone number including country code.

Format tips:

  • Include country code for SMS reminders
  • Use the format: +1 555 123 4567
  • Timeblu supports country code selection
  • It should be a mobile: if you type a landline, the form notes that the number cannot receive SMS or WhatsApp (you can still save it, but reminders will not reach it through those channels)

Birth Date

Optional birthday field. Useful for:

  • Birthday greetings
  • Age-based services
  • Client demographics

Address Fields

Full address including:

  • Street address
  • City
  • State/Province
  • Country
  • Postal code

Useful for:

  • In-person sessions
  • Invoicing
  • Regional analytics

Notes

Private notes visible only to you. Use for:

  • Session preferences
  • Important information
  • Communication history
  • Special requirements
Client notes are never shared with the client or included in emails.

Client Validation

Timeblu validates:

Best Practices

Collect Information Early

When a new client contacts you:

  1. Create their record immediately
  2. Add email at minimum
  3. Complete profile after first session

Keep Records Updated

  • Update contact info when it changes
  • Add notes after significant interactions
  • Archive inactive clients if not deleting

Use Consistent Formatting

  • Decide on name format (first last vs last, first)
  • Use consistent phone number format
  • Standardize note-taking style

After Adding a Client

Once a client is added, you can:

  1. Book a session - Schedule their first appointment
  2. View their profile - See full details
  3. Add more details - Complete their profile over time
