AI Assistant
💎Max The AI assistant is available on the Max plan, with 100 messages per month.
The assistant lives behind the sparkle button at the bottom right of your dashboard. Write to it the way you would talk to someone at the front desk: it looks things up in your account and, when you ask, does the work for you.
What You Can Ask
About your day and your business
- “What do I have tomorrow?”
- “How was revenue this month compared to last month?”
- “Which clients haven’t come back in two months?”
- “Why are cancellations up?”
About a client
- “What do you know about Ana Ruiz?” - contact details, history, alerts, pending follow-ups
- “What did we do with Ana last time?” - reads the private notes of her previous visits
About Timeblu - “How do I set up deposits?” searches this help center for you.
What It Can Do For You
| You say | What happens |
|---|---|
| ”Book Ana for a cut on Friday at 10” | Creates the appointment and offers to send her the confirmation email |
| ”Book Ana cut and colour on Friday at 10” | Creates one visit with both services back to back, and one email for the visit |
| ”Move Ana’s appointment to Monday at 12” | Reschedules it, checking the new slot is free |
| ”Check out everyone from today” | Marks today’s confirmed appointments as completed in one go |
| ”Check out Ana and remind me to call her in a month” | Completes the appointment and schedules a follow-up |
| ”Add to Ana’s notes: used colour 6.1, 30 minutes” | Saves it in the private notes of the appointment - never visible to the client |
| ”I’m sick tomorrow, cancel everything and let them know” | Lists tomorrow’s appointments, asks once, cancels them all and emails every client |
| ”Block my afternoon” | Adds blocked time to your calendar |
| ”Who is on my waitlist?” | Lists the clients who asked to come earlier if a slot opens |
| ”Has Ana signed the consent for Friday?” | Tells you which intake forms are still missing for that appointment |
| ”Send Ana the forms for her next appointment” | Emails her the link to fill them in before the visit |
| ”Change Ana’s email to ana@example.com” | Updates her contact details, showing you the old and the new value first |
| ”How many SMS do I have left this month?” | Shows your remaining message credits (SMS and WhatsApp share them) |
| “What is blocking Thursday morning?” | Lists your events and blocked time, and can remove them |
| ”Who hasn’t come back in two months? Prepare a campaign” | Counts who can be reached and saves a draft for you to review and send |
| ”From now on I close on Mondays” | Changes your weekly opening hours, showing the old and new schedule first |
| ”Raise the gel nails price to 48” | Updates the price for new bookings (existing appointments keep theirs) |
It can also confirm pending bookings, mark no-shows, add client alerts, block a client from booking online, and manage your days off.
It Asks Before Anything Important
Small things (adding a note, scheduling a follow-up) happen right away. Anything that affects a client - booking, cancelling, moving, checking out, sending an email - shows Yes / No buttons with a summary of exactly what is about to happen. Nothing is done until you tap Yes.
When several appointments are involved, the summary lists every one of them.
Booking or cancelling from the chat does not email the client on its own. The assistant offers it in the same confirmation, so you decide each time.
If a slot is already taken or outside your working hours, the assistant tells you and asks whether to book over it - it is your calendar, so you can.
Deposits
If a client paid a deposit online, the assistant tells you before and after cancelling, including the refund terms the client accepted. It never refunds or keeps a deposit by itself: open the cancelled appointment in the calendar to decide.
What It Cannot Do
- Refund deposits or touch payments
- Send or schedule campaigns - it prepares the draft and you send it from Campaigns
- Change your plan, branding or team
- See anything outside your own account
- Read what a client answered in an intake form - it only knows whether it was answered
Privacy
The first time you open the assistant you accept a short privacy notice. Conversations are processed by Anthropic, are not used to train AI models, and are not kept long term. The assistant remembers a few lasting facts about your business (for example, that you prefer morning appointments) to be more useful next time.
The assistant is hidden while front desk mode is active.
